Administrative Assistant![]() Administrative Assistant Job Reference # JP34533 Location 099-San Dms-BB,San Dimas CA Type Full Time Description Job Category: Administrative/ Clerical Basic Qualifications: Must possess a minimum of three years experience performing thorough administrative, secretarial, and clerical functions. General Job Requirements: A combination of formal education, training, and experience to gain knowledge, skills, and abilities generally equivalent to those possessed by a high school graduate. Demonstrated experience filing, calendaring appointments, and coordinating, scheduling, and planning meetings and conference calls. Demonstrated experience researching, coordinating, and finalizing moderately complex assignments. Demonstrated experience generating reports and timely information. Demonstrated experience with spread sheet entry, use and reporting. Demonstrated strong oral and written communication skills, and be customer focused to understand and appropriately respond to managers and clients business needs, and interface effectively and/or collaborate with others. Demonstrated ability to maintain confidentiality and make sound decisions on routine matters. Must demonstrate the ability to take initiative and accountability for the accuracy of information and for achieving results. Must be proficient in Microsoft Project, Excel, Word, and PowerPoint, as well as the Internet and Email. Typical Responsibilities: The successful candidate will perform administrative and clerical functions. Typical responsibilities include: initiating and coordinating specific meetings, conferences, calendar and calls for Department Manager; maintaining controls and ordering supplies for all of CAPS; managing and maintaining filing of departments work and projects; exercising independent judgment with respect to routine problems; providing functional direction and control on departmental items (facility requests, shared equipment such as printers, fax machines, etc) as well as supports department using computer applications (work, excel, access, etc.) in the production and retention of reports in a timely and accurate fashion; accurately processing incoming mail, inputting incoming invoices into SAP (PO and non-PO), requesting facilities from the department to various internal and external sources, supporting and assisting others in reporting, telephone coverage and other administrative duties periodically for all of CAPS; and performing other duties and responsibilities as required. |
